This Privacy Policy explains how Set Piece Studio ("we", "us", "our") collects, uses, and protects your information when you use our website and application at thesetpiecestudio.com (the "Service").
We are based in the United Kingdom. Our Service is available to users worldwide, and we aim to comply with applicable data protection laws including the UK GDPR, EU GDPR, and other relevant regional privacy laws.
1. Who we are

2. What information we collect
Account information: name, email address, and password (stored securely and never in plain text) when you sign up.
Content you create: routines (including any player names you add), formations, tags, notes, AI summaries, and your club logo if you upload one.
Payment information: if you subscribe to a paid plan, payment is processed by Stripe. We do not store your card details ourselves. Stripe handles this directly.
Usage information: basic technical data such as browser type, device type, and general usage patterns, collected through error reports and our hosting provider's logs, used to maintain and improve the Service.
3. How we use your information
We use your information to:
- Provide and operate the Service (creating your account, saving your routines, displaying your dashboard)
- Process payments and manage subscriptions, where applicable
- Communicate with you about your account (e.g. confirmation emails, password resets), and send you emails about your trial and subscription
- Maintain the security and integrity of the Service
- Improve the Service based on how it's used
We do not sell your personal information to third parties.
4. Who we share information with
We share information only with the service providers necessary to run the Service:
- Supabase: for authentication, database, and file storage
- Stripe: for your free trial, subscription and payments (your name and email address when you sign up, and your payment details if you subscribe)
- Resend: for sending account-related emails (confirmations, password resets and password-change notices), and for delivering feedback you send us from the app
- OpenAI: if you use AI Summary, a text description of your routine (its category, tags, the players' positions and movements, and any player names you've added) is sent to OpenAI to write the summary. If you use notes dictation, your voice recording is sent to OpenAI to turn it into text. Voice recordings are not retained by us after transcription.
- MailerLite: for emails about your trial and subscription (your email address, which plan you're on, and whether you started checkout without finishing it)
- Sentry: for error reports when something goes wrong in the app (technical details such as the page, browser, device and the error itself)
- Vercel: for hosting the app (requests to the app, including your IP address, pass through Vercel's servers)
- YouTube (Google): for the help videos shown in the app (when a video loads, YouTube receives your IP address and browser details and may set its own cookies)
- Zoho Mail: for our hello@thesetpiecestudio.com inbox, which receives the emails and feedback you send us
- Have I Been Pwned: to check a new password against known data breaches. Only the first five characters of a scrambled version (a hash) of the password are sent, never the password itself or your email address.
Each of these providers has its own privacy practices and is only given the information needed to perform its function.
We may also disclose information if required by law, or to protect the rights, safety, or property of Set Piece Studio or our users.
5. Data retention
We retain your account information and content for as long as your account is active. If you ask us to delete your account, we will delete your personal data and content within a reasonable period, except where we're required to retain certain information for legal or accounting purposes.
6. Your rights
Depending on where you live, you may have rights including the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Object to or restrict certain processing

7. Cookies and tracking
We use essential cookies necessary for the Service to function, such as keeping you logged in. Help videos in the app are embedded from YouTube, which may set its own cookies when a video loads. Our marketing website also uses Google Analytics to understand how visitors find and use the site. You can decline this by clicking "Decline" on the cookie notice shown on your first visit. If you decline, Google Analytics will not load. If you accept, or don't respond to the notice, Google Analytics will load and track your visit as normal. We don't use advertising or remarketing cookies of any kind.
8. Data security
We take reasonable technical and organizational measures to protect your data, including encrypted storage, access controls, and secure authentication. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. International data transfers
Your data may be processed in countries outside your own, including the United States, by our service providers (e.g. Vercel, Stripe, OpenAI). Where this happens, we rely on those providers' compliance with applicable data protection frameworks.
10. Children's privacy
The Service is not intended for use by children under 16. We do not knowingly collect personal information from children under 16.
11. Changes to this policy
We may update this Privacy Policy from time to time. We'll update the "Last updated" date at the top of this page when we do. Continued use of the Service after changes constitutes acceptance of the updated policy.
